Terms and Conditions

The person whose name appears on the Booking Form agrees to take full responsibility for ensuring that all members of the party adhere to the Conditions of Let set out below.

In these Conditions of Let, Owner refers to the Owner of the Accommodation you are booking, Accommodation refers to the lodge or unit you are booking.

  • The number of people occupying any one Accommodation is limited to that stated in the brochure or website, unless by prior consent with the Owner.

  • We do not accept bookings from anyone under 21 years of age, and same sex groups are prohibited unless by prior agreement.

  • The park is a very small and quiet. We ask that guests observe our "quiet after 23.00pm"  policy. 

  • You must pay a 25% non-refundable and non-transferable deposit on booking, with the remainder of the balance payable fourteen (14) days before the start of the Let.  You will be sent an invoice via email that has a link to pay. Please ensure this is paid no later than 14 days before arrival, or your reservation may be cancelled with loss of your deposit. If you prefer, please contact the Owners on 01579 320183 to make your final payment. The Owners cannot guarantee sending any reminders.

  • If a booking is made less than 14 days before the start of the holiday please send the full rental charges at the time of booking, having first checked that the Accommodation of your choice can be reserved for you. Failure to pay the balance of rental charges, or failure to allow the Owner to take the balance by credit card by the due date (14 days prior to arrival), will result in the Owner treating the Accommodation as available for re-booking. No reminders are sent out.

  • Please notify the Owner of any cancellation in writing. If a notice of cancellation is received between the dates of your deposit being received and the final payment being due then the deposit will be retained.. If cancellation is made within 14 days of the holiday start then no refund will be given. Bookings are not refundable or transferable unless the Owner agrees to this.

     

    To safeguard against cancellation charges & other unforeseen eventualities we strongly recommend you take out some Holiday Insurance.

  • Should the Accommodation, subsequent to booking, become unavailable through any cause, you must accept that the Owners liability is limited to the amount of any rent paid.

Dogs and other pets

        Dogs are welcome in the accommodation but are limited to either 1 or 2 depending on the accommodation size. There is a fee of £4 per night per dog. Please ensure you make it clear that you wish to bring a dog at point of booking.

          If you bring your dog with you when you stay with us we ask that you:

  •       Keep the dog on a short lead on the park at all times

  •       Clean up after your dog

  •       Do not leave your dog unattended in the accommodation at any time

  •           Unfortunately we do not allow cats in any accommodation.

        Pine Green Valley reserves the right to refuse certain breeds of dog that it deems inappropriate on a family site. These include, but are not restricted to; Mastiffs, Rottweilers, Dobermans, Pitbulls, Wolf hybrids, Rhodesian Ridgebacks, Dogo Argentino, Japanese Tosa,  English Bull Terriers, any 'bull type' breed and Preso Canario. We may also refuse a large number of dogs for one booking

  • Strictly no Smoking inside the Accommodations.

  • You accept that the responsibility for personal property of guests occupying the Accommodation is solely theirs. All vehicles are also left at the guests risk. Guests agree to absolve the Owner of any responsibility for any accident or mishap to persons or property whilst on the premises or whilst engaged in any activity therein, or from any illness or injury arising from any causes whatsoever.

  • You agree to use the Accommodation solely for its intended purpose as self-catering Accommodation and to accept the Owners right to refuse to hand over the Accommodation to any person deemed unsuitable to take charge. Causing a nuisance or disturbance to neighbours or other guests, unreasonable behaviour or disrupting the running of the site may result in the Owner requesting you to leave.

  • You agree to allow the Owners or agents access to the Accommodation at all reasonable times. We will only ever request access to your Accommodation in case of an emergency, e.g. a water leak.

  • You must respect and look after your Accommodation during your stay and you must leave the Accommodation clean and tidy. Please let us know of any damage or breakages so we can repair or replace them for the next guests. We reserve the right to charge for any damage or breakages.

  • Do not have any dangerous items in the lodges that can result in fire or danger to life.

  • Hot tubs are for the use of residents only and any visitors are not allowed in the hot tub. We ask that the hot tub must be used with care and respect. Food  and smoking are forbidden whilst using the hot tub. We regret that children under the age of 12 and pregnant women are not allowed in the hot tub due to safety reasons. Should you use tanning products, your use of the hot tub is limited to 15 minutes per day. Failure to comply with this restriction may result in the hot tub having to be cleaned and drained at a cost to you of £30.It is not permitted to use the hot tub between 22.00pm and 8.00am

  • We reserve the right to maintain the hot tubs including draining, chemical testing/adjusting and notifying guests that it will be unusable for a period of time. There will be no refunds offered should the hot tub be unavailable.

  • We supply guidelines for the hot tub use which we will ask all guests to read. Should these guidelines not be met or ignored, the hot tub may be made unavailable for use, or the guests may be asked to leave the accommodation without refund.

  • We have a 'fair use' policy that asks all guests to use the hot tub for 2 x 1 hour sessions per day only. The hot tubs are not designed to be used for long periods of time and we may ask guests to leave or make the hot tub unavailable should these guidelines not be followed. This is for your health and well being.

  • Should the hot tub temperature be adjusted or turned off, we reserve the right to refuse use until the chemicals and temperatures have been rebalanced, Hot tubs falling below a certain water temperature can breed bacteria. Until we are happy there is no danger to guests, the hot tub cannot be used.

  • Guests may not use the hot tub on the morning of check out. This allows us adequate time to prepare them for the next guests

  • PLEASE NOTE. We will under NO CIRCUMSTANCES offer any refund should the hot tub be unavailable for any of the points highlighted above.

  • Visitors are welcome with prior arrangement, however they must vacate the Park by no later than 8.00pm.

  • Duvets and pillows are provided for your stay but you will need to bring your own duvet covers, sheets and pillowcases. We do not provide towels for hygiene reasons and ask that you bring these with you.

  • You must vacate the Accommodation by 10.00am at the latest on your day of departure unless special arrangements have been made with the Owner. This is to allow us to prepare the Accommodation for the next guests.

  • Guest arrival time is from 3pm to 6.00pm in Winter months, and 3.00pm to 7.00pm in the Summer months. If you arrive 30 minutes later, then a fee of £10 will be charge for late check-in. Arrivals an hour (60 minutes) after the latest accepted check in will be refused entry without a refund. If you are running late due to unforeseen circumstances, please call ahead on 01579 320183 to let the office know.

  • Please note we supply enough firewood for your first night, but guests are asked to buy any additional wood they need. We do not supply any firewood from June to September, but if asked we can direct guests to the nearest shops where wood may be available.

  • All of our portable electrical appliances have been tested and approved within the terms of the new Fire Assessment Regulations. As the use of your own personal electrical equipment is out of our control it must be at your own personal risk.

  • All fire equipment is regularly tested and a copy of certificates can be inspected upon request.

  • Please note: We cannot be responsible for anyone failing to read the details of the accommodation they have selected. We always follow up a booking with an email highlighting the relevant points for that accommodation i.e hot tub use, bed linen needed and check in details. We will always assume that this has been read and understood and cannot be held responsible should there be any policies not fully understood.

  • We reserve the right to ask anyone to leave where there is disrespectful behaviour towards members of staff or other guests.

  • ​Please note failure to adhere to our policies may result in guests being asked to leave immediately with no refund.

In line with the new GDPR (General Data Protection Regulations) that come into force on the 25th May 2018, please be aware that up to the time of your arrival, we may contact you via text message, Facebook messenger, email or telephone with the details you have provided.

The information we hold is your name, address, email and telephone number should you have provided these at the time of booking.

All information is kept securely and we are the only people that view this. We never share your data with any third parties.

Your details are then not viewed after your holiday has taken place.

If at any time you want us to delete your information, please let us know as this is your right, however for future bookings we may need this data to be able to confirm details and communicate with you regarding your holiday.
